How Kansas City University standardized student remediation with learning analytics

Overview

Many health professions programs collect large amounts of assessment data. The challenge is turning those insights into timely, coordinated action that supports student success.
Kansas City University College of Osteopathic Medicine (KCU-COM) had already established Enflux as its learning analytics platform, bringing together assessment data from ExamSoft and Canvas LMS to better understand student performance. With CompetencyGenie™, AI-powered tool for categorizing exam items according to cognitive levels and competencies, faculty tagged assessment items by Bloom’s taxonomy, providing deeper insights into cognitive skill development and learning gaps.
As the institution matured its assessment practices, Felicia Graves, Exam Services & Analytics Coordinator, recognized an opportunity to extend Enflux beyond assessment reporting. Working closely with the Student Success team, she led an initiative to build a more coordinated, standardized remediation workflow. By combining Enflux learning analytics with the ActionPlans® Management System, KCU’s Exam Services team created a connected process that supports earlier intervention, cross-functional collaboration, and longitudinal student support.
Today, the standardized workflow provides Student Success with current assessment evidence within approximately two days, enabling earlier coaching conversations, more coordinated intervention, and a consistent remediation process across campuses.

Challenge

KCU’s remediation program was well established, but the information supporting student intervention was fragmented across departments.
Assessment reports were recreated using screenshots, Word documents, PDFs, and shared hyperlinks. While Exam Services, Student Success, Learning Enhancement, Disability Services, faculty, and academic leadership all contributed to the remediation process, each department maintained its own documentation practices. This made collaboration time-consuming, increased the risk of inconsistent information, and created unnecessary administrative burden.
Although Student Success typically met with students within one or two days after final grades were posted, detailed strengths-and-opportunities reports often arrived months later, too late to fully inform those earliest coaching conversations.
The university needed a repeatable, secure process that would provide timely assessment insights, coordinate multiple stakeholders, and support consistent longitudinal student intervention.

Solution

Recognizing the gap, Felicia Graves saw an opportunity to build on KCU’s existing use of Enflux learning analytics. Working closely with the Student Success team, she led the effort to design a standardized, repeatable remediation workflow that would integrate current assessment evidence, documentation, and cross-functional collaboration into a single secure system.
Assessment data from ExamSoft and Canvas LMS becomes available in Enflux within approximately 24 hours, where learning analytics bring together assessment results, course performance, and categorized assessment data into a single view of student learning.
Using CompetencyGenie™, KCU consistently tags assessment items by Bloom’s taxonomy, enabling faculty and student support teams to move beyond overall exam scores and identify specific cognitive skill gaps that contribute to student performance.
These insights are organized into interactive dashboards that surface performance across:
  • Courses
  • Organ systems
  • Disciplines
  • Bloom’s taxonomy
  • Institution-defined categories
When a student requires additional support, KCU’s Exam Services team initiates an ActionPlan® through the ActionPlans® Management System, integrated directly with Enflux learning analytics. ActionPlans® provide a structured workspace for assigning ownership, coordinating stakeholders, documenting interventions, and tracking student progress throughout remediation.

Implementation and impact

KCU organized the redesigned workflow around five stages:
  • Day zero

    Final grades are posted. Student Success notifies the student and sends the remediation list to Exam Services.

  • Data connected

    Assessment data is available in Enflux within approximately 24 hours.

  • Plan initiated

    The Exam Services team reviews the student's learning analytics, captures the relevant dashboard evidence, and initiates an ActionPlan® by documenting ownership, timelines, collaborators, and committee access.

  • Team aligned

    Selected stakeholders from four departments collaborate using the same access-controlled ActionPlan, ensuring consistent documentation and communication throughout the remediation process.

  • Support sustained

    Student Success reviews the evidence in the first coaching meeting, then continues biweekly follow-up through the comprehensive remediation exam.

The redesigned workflow reduced the typical end-to-end turnaround from months to approximately 2–3 days. It also reduced manual redistribution, lowered FERPA-related access risk, improved confidence in data fidelity, and established a standardized remediation process across teams and campuses.
KCU continues to place professional judgment at the center of remediation. Student Success coaches review the assessment evidence with students, explore barriers through a structured questioning framework, and connect each learner with the appropriate academic, learning, disability, counseling, faculty, or other campus resources. Biweekly coaching continues through the comprehensive remediation exam.
The university reported early improvement in outcomes after pairing earlier access to data with longitudinal support and expects further gains as the workflow matures.
